Salary Range: $18.00 per hour

The Church Administrative Assistant is an employee of the church responsible for the administration of the church office, the clerical duties required by the pastor and the church, the preparation of bi-monthly newsletters, weekly and special worship bulletins, special mailings, the maintenance of church files (electronic and hard copy), and the maintenance and purchase of office supplies as needed. $18/hr.

Part time 15 hours per week

Tasks:
1. Prepare weekly and special worship service bulletins and materials.
a. In coordination with pastor, create MS Word document for printed bulletin, including any inserts. Print and fold.
b. Email final version of bulletin to pastor and music director.
c. Create PDF of bulletin and any inserts and post on website.
d. Create PowerPoint version of bulletin for display on screens during worship, including download of digital music as necessary.
e. File hard and electronic copies.

2. Report usage of copyrighted materials on CCLI website as requested by CCLI.

3. Set up, layout, and distribute church newsletter.
a. Receive articles, photos and other items from church representatives and members.
b. Create newsletter in Word or other software program.
c. Consult with pastor on layout, design, and content.
d. Create PDF of final version of newsletter, distribute to email list, and post on website.
e. Print hard copies of newsletter to be picked up or mailed via USPS on request.
f. File hard and electronic copies.

4. Assist in updating calendar and events on church’s website.
5. Maintain up-to-date database of members and friends in Membership Edge, with contact information, birth dates and other relevant information, and create occasional reports as requested.
6. Enter offering contributions and cash donations in Membership Edge weekly.
7. Monitor church PayPal account, transfer money received weekly to church bank account and notify treasurer and financial secretary.
8. Assist with special mailings for the church board and ministry teams of the church.

a. Copy/print materials as requested.
b. Provide mailing labels and envelopes.

9. Maintain up-to-date email distribution lists (can be created directly from Membership Edge or separately in MS Office) for:
a. Newsletter
b. Board
c. General information dissemination
d. Prayer chain

10. Compile annual reports in January for distribution at Annual Meeting and maintenance of church records.
a. Receive reports from pastor, officers, and others.
b. Review with pastor and compile reports into one document for printing, and electronic distribution in PDF as requested.

11. Monitor office supplies and order as needed or requested by pastor within the church office supplies budget.
12. Check voice mail regularly, answer phone when in office, take messages and refer to appropriate church representatives as necessary.
13. Ensure telephone voicemail message is current and provides accurate information.
14. Collect mail from mailbox and distribute to appropriate church representatives.
15. Assist the pastor with other clerical and office needs.

Qualifications:
1. 4-5 years’ experience in office administration.
2. Proficiency with Microsoft Office suite including Word, Excel, PowerPoint, and Outlook.
3. Ability to work independently and as part of a team.
4. Ability to maintain confidentiality.
5. Ability to communicate effectively with a variety of people.
