Job Responsibilities:
The Principal Data Processing Control Clerk (PDPCC) delivers school business office services to school districts and has an extensive knowledge of school district office functions, as well as relevant software applications. The PDPCC acts as a liaison between school district staff and the Erie 1 BOCES CBO to cultivate and nurture productive working relationships.

Specific Duties: (Illustrative only; not all-inclusive):
• Delivers Central Business Office (CBO) services to school district clients, including, but not limited to:
• Payroll processing
• Internal claims auditing of Accounts payable processing
• Financial reporting, and
• Other school business office/financial functions requiring a high degree of accuracy.
• Evaluates district needs and develops requirements and timelines for process implementations, taking into consideration reporting requirements and individual school district policies and procedures.
• Assists Manager with district/BOCES consultation and new service preparation.
• Consults with district clients on process design and structure for various business office functions.
• Performs detail-oriented work and completes tasks in a timely manner in a fast paced, deadline-oriented and time-sensitive environment.
• Organizes and prioritizes among competing tasks and, in this regard, works equally well as a member of a team or individually.
• Works with and provides support to other clerical staff to meet the needs of school district clients and services.
• Prepares and maintains files, records, and documents related to client-specific needs and services provided for school district clients.
• Assists with the scheduling, preparation, and conducting of meetings with school district clients.
• May assist in the training and onboarding of new staff members.
• Assists in the gathering and summarizing of information useful in budget preparation.
• Other duties may be assigned that are relevant to the civil service job description for this title.

Serves as the designated backup to the primary administrator for the School & Municipal Energy Cooperative (SMEC), providing administrative, financial, and operational support as needed to ensure continuity of services and operations. Responsibilities may include assuming designated duties during absences or periods of increased workload and maintaining sufficient knowledge of SMEC processes and procedures to provide effective backup coverage.

• Assists with and provides backup support for SMEC financial and accounting functions, including revenue receipts, billing and invoicing, banking transactions, QuickBooks records, bank statement documentation, and annual audit preparation.
• Assists with administrative and member-related functions, including maintaining member contact information and records, preparing for quarterly member meetings, and documenting meeting activities as assigned.
• Maintains and manages SMEC records and documentation in accordance with applicable records retention requirements and provides backup coverage for other SMEC administrative and operational functions as needed.

Civil Service Qualifications:

Minimum Civil Service Qualifications:
There is no civil service examination required for this position for the duration of the NY HELPS Program. Candidates must meet the minimum civil service qualifications for a NY HELPS appointment as follows:

A) Graduation from a regionally accredited or New York State registered two (2) year college or university with an Associate's degree in Data Processing or Computer Science and three (3) years of office clerical experience, at least one (1) year of which included supervisory data processing computer operations; or:
B) Graduation from high school or possession of a high school equivalency diploma and five (5) years of office clerical experience, at least one (1) year of which included supervising data processing/computer operations; or:
C) An equivalent combination of training or experience as defined by the limits of (A) and (B).
