Salary Range: $50,000 - $60,000 based on experience
We are looking for a reliable and detail-oriented Office Administrator to support our daily office operations and administrative functions.The ideal candidate will play a key role in keeping the office organized, supporting staff, managing financial records, and coordinating
purchasing activities with vendors.
Accounts Payable and Receivable tasks will be required.
This position requires strong organizational skills, the ability to multitask, and experience with administrative and bookkeeping tasks.
Key Responsibilities:
• Manage daily administrative operations to ensure the office runs efficiently
• Answer phone calls, manage emails, and handle general inquiries professionally
• Schedule meetings, maintain calendars, and coordinate office activities
• Maintain organized records, files, and documentation
• Enter and track company expenses using QuickBooks and ERP software (Pentagon2000)
• Process vendor payments and maintain accurate payment records
• Reconcile receipts, invoices, and financial transactions
• Prepare and issue Purchase Orders (POs) to vendors
• Research and identify reliable vendors to obtain the best pricing and quality for parts and supplies
• Coordinate purchasing activities and maintain vendor relationships
• Order office supplies and monitor inventory levels
• Prepare reports, spreadsheets, and internal communications as needed
• Support general office functions and assist management when required
Qualifications:
• High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field preferred
• Previous experience as an Office Administrator, Purchasing Agent, Bookkeeper, Administrative Assistant, or similar role
• Experience using QuickBooks for expense tracking and payment records preferred
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Ability to multitask and work in a fast-paced environment
• Strong attention to detail and problem solving skills
