Job Responsibilities:
- Receive, review and verify vendor invoices and billings.
- Properly code and enter invoices for payment into accounting system.
- Ensures invoices are properly approved for payment by authorized personnel.
- Reviews and checks invoices and vendor payments for accuracy.
- Prepare and process payments including checks and electronic transfers to vendors.
- Ensure timely payment to vendors in accordance with agreed-upon terms and BOCES policy.
- Serve as point of contact for vendors regarding invoices, payments and account status.
- Maintain and update vendor accounts, including contacts.
- Ensure compliance with internal financial controls and BOCES policies.
- Assists with periodic closing processes, including year-end reconciliations.
- Documents processes and procedures to ensure consistent and accurate processing of financial transactions.
- Assists in training of other team members on critical functions; thereby ensuring departmental effectiveness.
- Assists team members by sharing information and assisting during times of high volume, absences, and in meeting deadlines.
- Other duties may be assigned that are relevant to the civil service job description for this title.

Minimum Civil Service Qualifications:

There is no civil service examination required for this position for the duration of the NY HELPS Program. Candidates must meet the minimum civil service qualifications for a NY HELPS appointment as follows:
A) Graduation from a regionally accredited or NYS registered two (2) year college or university with an Associates Degree in Accounting or Business and one (1) year experience in the maintaining of financial records; OR;
B) Graduation from high school or possession of a high school equivalency diploma and three (3) years experience in the compilation and maintenance of financial records; OR;
C) Seven (7) years experience in the compilation and maintenance of financial records; OR;
D) An equal combination of training and experience as defined by the limit of (A), (B) and (C).
