Hours: 8:30am -4:30pm Reports To: Director of Operations and Accounting
Job Summary: We are seeking a highly skilled Accounts Payable Specialist to oversee and manage the accounts payable operations across 9 companies and 30 locations. This role requires exceptional attention to detail, strong organizational skills, and the ability to handle high-volume transactions efficiently. The ideal candidate will ensure timely and accurate processing of invoices, maintain vendor relationships, and support financial reporting and compliance efforts.
Key Responsibilities:
· Invoice Processing: Manage and process a high volume of invoices across multiple entities, ensuring accuracy and compliance with company policies.
· Vendor Management: Establish and maintain strong relationships with vendors, resolving discrepancies and negotiating favorable terms.
· Payment Processing: Oversee payment schedules, ensuring timely disbursement while optimizing cash flow.
· Reconciliation: Perform regular vendor account reconciliations, ensuring accuracy in financial records.
· Compliance & Reporting: Ensure adherence to financial regulations, tax requirements, and internal controls. Generate reports for management review.
· Process Improvement: Identify opportunities to streamline accounts payable processes and implement automation where applicable.
· Collaboration: Work closely with finance teams across all locations to ensure consistency and efficiency in AP operations.
Qualifications & Skills:
· Bachelor's degree in Accounting, Finance, or related field preferred, or equivalent experience.
· 5+ years of experience in accounts payable, preferably in a multi-entity environment.
· Strong knowledge of accounting software and ERP systems.
· Proficiency with Microsoft Excel; experience with accounting software (e.g., QuickBooks) is a must
· Excellent analytical and problem-solving skills.
· Ability to manage high-volume transactions with accuracy and efficiency.
· Strong communication and negotiation skills.
· Knowledge of financial regulations and compliance standards.
